As an administrator in IWMAC you can manage all users on your facilities – add new ones, change access levels, update the duty list and give external service companies access. This guide covers the full user administration.
Getting started
The first time you log in after being granted administrator rights, a pop-up window will inform you of this. From there you can go directly to the user settings. You can always find User Administration via the gear icon in the top right corner.
As a Firm administrator you can decide which company should have access to what on your facility. As an administrator for a service company you can determine the access level for your own users.
Overview of your users
The Users tab shows all active and deactivated users. Here is what you see in the list:
- Facility selector (1): Shows which facility you are administering. If you have access to several facilities you can switch between them using the dropdown arrow.
- Active / Deactivated (2): Toggle between active and deactivated users.
- Search field (3): Search by name, mobile number or email address.
- Administrator icon (4): Administrators are shown in the list with a dedicated icon.
- Click on the user (5): Open the profile to edit contact information or deactivate the user.
- Access (6): Shortcut to the page where you control which facilities the user has access to and at what level. (This is not shown for companies with access to one facility)
- Total / Duty list / On duty (7): Shows how many facilities the user has access to in total, how many they are listed on the duty list for, and how many they currently have active duty on. (This is not shown for companies with access to one facility)
Edit or deactivate a user
Click on a user in the list to open their profile:
Here you can do the following:
-
Go to the access page via the shortcut (1):
Click the shortcut to go directly to the user's facility access overview.
-
Edit personal details and contact information (2):
You can update contact details. Mobile number and email is required. The username is generated automatically by IWMAC and cannot be changed.
-
Set access level (3):
Choose the right level for the user:
- Duty list: The user can be on duty and receive alarms for facilities your company has access to.
- Administrator: Can manage the company's users and add external users. Administrators can also control other users' access levels.
-
Deactivate the user (4):
When a user is deactivated their mobile number is removed from the system. Deactivated users can be found under the Deactivated button. To reactivate a user, a new mobile number must be entered.
Set access level per facility
The Access tab gives you a complete overview of which facilities a user has access to and at what level.
- Select user (1): Choose which user you want to administer.
- Filter (2): Filter by for example Service to only see facilities where the user has service access.
- Change access for all facilities (3): Set the same access level across all facilities at once using the top row.
- Alarm settings (4): Jump directly to alarm settings for a specific facility.
- Manage per facility (5): Customise the access level for each individual facility.
Add a new user
-
Open User Administration:
Click the gear icon in the top right corner and select User Administration.
-
Go to the Add user tab:
Fill in name, mobile number and email address. IWMAC automatically generates a username as the email. The new user will receive an e-mail to verify the account and set a password once you have added them.
-
Set access level and duty list:
Tick On facility duty list if the user should be able to receive alarms. You can also copy the access from an existing user via the dropdown menu – the access list will then update automatically.
-
Click Add user:
The user is added and will automatically be placed at the bottom of the call list.
Adjust the call order after adding a user
A new user added to the duty list is automatically placed at the bottom of the call order. Here is how to change their position:
-
Go back to the facility:
Click on the facility name in Operation Center.
-
Open the Call list tab:
Here you can see the current call order. Move the user up to the desired position in the list.

The External companies tab shows which service companies have access to your facility and what type of access has been granted.
- Search (1): Search for a company that already has access.
- Remove (2): Delete a company's access to the facility.
- Service + Designer (3): The company has service access and can design system overviews. To edit this you need to contact IWMAC.

Search by company name to find the right company.
-
Set access:
Choose the access level and tick duty list if they should be added to it.

Frequently asked questions
Can I reactivate a user I have deactivated?
Yes. Go to Deactivated under User Administration and enter a mobile number to reactivate the user.
What is the difference between Employee and Manager in IWMAC?
The position is used to give the Alarm Monitoring service a better overview of who will be called when an alarm is triggered.
What is the difference between service and view access?
Service gives the user the right to make changes to the facility. View allows the user to see the facility but not make any changes.
I am on duty at several facilities – where can I see which ones?
A user currently cannot see which facilities they are on duty for directly in the interface.
How do I remove a user from the duty list?
An administrator can remove duty via the user settings. Note that there must always be at least one person on the duty list – if you want to remove yourself, another user must take over duty first.
I cannot find the service company I use. What do I do?
The facility administrator can add the service company via the External companies tab.
I want to become an administrator – what do I do?
An existing administrator on the facility can add you as a new administrator in the user list.
Tip:
Update the duty list and call list well ahead of holidays so the right person receives alarms. Can't find User Administration when you click the gear icon? Email support_iwmac@kiona.com to get administrator access.
